ASME Board Positions

Those running for president, vice president, or treasurer must have at least two years left at UIC.

President – The president must provide strong leadership for the Society, coordinate the management of the society with the officers, communicate with the University on the Society’s behalf, as well as ensure that all meetings are observed as protocol by the guidelines discussed in the Constitution.

i.e. – Lead officers, lead GBM’s, approve decisions, help with budget presentation/proposal, MUST attend Dinner with the Dean, communicate with Advisor at least once a week, and send emails regarding GBM’s, parking passes for invited companies. The President is also responsible for setting up activities for the society, including fundraisers, volunteering, and social on campus events for ASME members with the help of the vice president and secretary.

Vice President – The Vice-president(s) may be delegated by the president to perform his/her duties in the event of his/her temporary disability or absence from meetings. He/she shall have such other duties as the president may assign. He/she shall work closely with all officer positions to ensure that the tasks are completed on time/correctly. The Vice-president is also responsible for setting up activities for the society, including fundraisers, volunteering, and social on campus events for ASME members with the help of the president and secretary.

i.e. – Assist in all that is listed above, plus other tasks assigned by President. Create/Edit PowerPoint for Dinner with the Dean, make PowerPoints for GBM’s, create/send email surveys, follow up with other officers on their tasks.

Treasurer – The treasurer must keep an account of all money transactions (purchases, reimbursements, etc.) for the use of the student organization authorized and approved by the president. He/she is responsible for any funds acquired (fundraising, proposals, donations, etc.) by the society from its constituents, department, college, etc.

Secretary – The secretary must attend all general meetings, track membership, log and report information relevant to each meeting, and manage ASME listserv – including prior discussions not finished. Attend ENG Council meetings (once a month). The Secretary is also responsible for setting up activities for the society, including fundraisers, volunteering, and social on campus events with the help of the president and vice-president. This also includes documenting events by taking pictures and corresponding with the webmaster to publicize the pictures on social media.

Public Relations Officer – The public relations officer duty is to contact companies/industries for means of funding, meetings, company tours, company guest speakers, etc. Exception being if another member of the board has a direct connection with the company. This position requires working with the board members to establish good relations with companies of interest, to benefit the well-being of the Society and its members. The officer is not in charge of managing the funds, if obtained. Officer is also in charge of creating and designing fliers used to promote the organization’s events and distributing them throughout the university.

Webmaster – The webmaster is responsible for updating and maintaining the ASME website, Facebook page, and Instagram. Tasks include uploading recent pictures of the society, keeping an up-to-date list of activities the society is taking part in, and is not limited to communicating with people with questions related to the website and/or the society. The webmaster is also responsible for making flyers for upcoming events to put up around campus.

Competitions Officer – Lead competitions team, coordinate with Treasurer for orders, maintain room/equipment, coordinate with Eric regarding needed labor, register school/members for competition, acquire means of transportation and lodging during conference.
